Energy Federation, Inc., a national leader in promoting energy efficiency and renewable energy is looking for an Operations Specialist. Ideal candidate will have excellent organizational, written and oral communication skills. Must display a high degree of professionalism with the ability to continuously prioritize, multitask, problem solve and work well under pressure and within tight deadlines. The tasks and responsibilities in this role will evolve based on client and program needs.

Primary Responsibilities:

  • Coordinate and manage program tasks to ensure delivery within scope and timelines.
  • Support the Key Account Manager to resolve customer issues in a timely manner.
  • Conduct quality control measures, including validating information and reports are entered accurately in various databases.
  • Provide month end report extracts to clients.
  • Assist Marketing and IT with product and incentive setup.
  • Generate and verify summary reports, detail reports and data for invoicing various programs, including regular financial reconciliation of program accounts.
  • Create regular invoices for program and management fees and other billable activities.
  • Review periodic invoices for management fees and other billable activities and ensure supporting data files/reports support invoices.
  • Identify problems in operations process and resolve them in quickly and timely manner.
  • Manage and maintain both customer and client confidential information.
  • Ensure accuracy of data being reported to clients .
  • Ensure all steps of the Product Setup and Data Flowcharts are followed.
  • Ensure accuracy of marketplace content
    • Monitor and assess QC processes for new product deployment
    • Monitor and assess QC processes for pricing updates
  • Ensure compliance with service level agreement
    • Weekly review of contact center SLA’s
    • Weekly review of Logistics department to ensure SLA attainment
    • Weekly review of marketing department to ensure SLA compliance
  • Engagement with EFI’s Account Manager and Program Admins
    • Daily discussion with EFI’s KAM relating to above responsibilities
    • Development and management of operational procedure documentation
    • Coordination with EFI’s marketing and testing departments relating to any planned marketplace or reporting updates

Secondary Responsibilities:

  • Participate in training development and planning to ensure consistency with client requirements and goals, as well as EFI internal metrics.
  • Assist with administrative duties and special projects for multiple departments.
  • Foster and maintain good working relationships with other areas of the business
  • Other duties as assigned by management.

Education/Experience:

  • BS / BA degree or above is preferred though not required.
  • Two to four years related experience and/or training; in a fast paced business environment is essential.

Specific Knowledge and Skills:

  • Advanced knowledge of Microsoft Office suite with preference for advanced knowledge specific to Microsoft Excel.
  • Quality Assurance background working with data validation
  • SharePoint experience
  • Tableau experience – understanding data flows, some analytical skillset
  • Interest in energy conservation industry and willingness to support EFI’s mission statement and operations credo.
  • Uncompromised willingness to set an example with regard to attendance, punctuality and schedule adherence.
  • Proven problem solving skills are essential, the ability to anticipate, to act quickly to mitigate potential issues and minimize their impact.
  • Ability to work 8 AM to 5 PM with some flexibility to assist in and covering for others department leaders during leave time.
  • Ability to adjust and reprioritize throughout the day as needs arise;
  • Consistently positive demeanor
  • Excellent writing skills
  • Willingness to learn and grow
