Entry Level Sales Support Administrator

Energy Federation, Inc., (EFI),?a national leader in promoting energy efficient and renewable energy is?looking for an Entry Level Sales Support Administrator for our Sales group. Ideal candidate must have excellent organizational, written and oral communication skills. Must also be out-going and display a high degree of professionalism with the ability to continuously prioritize, multitask, and work well under pressure and within tight deadlines.

Primary Responsibilities:

  • Serves as primary contact for sales email accounts
  • Process sales orders and update customer accounts
  • Reply to customer inquiries via email regarding products and services
  • Greets all walk-in visitors to organization.
  • Answer reception phone line and direct customers to proper department.
  • Produce standardized customer correspondences.
  • Make outbound follow up calls to customers regarding order related and shipping inquiries
  • Resolves order and inventory problems by investigating data and history; identifying alternate means for filling orders; notifying managers and customers.
  • Process customer returns
  • Follow up with shipping companies as needed
  • Work closely with the Logistics department to resolve any product or shipping issues
  • Responsible for maintaining a knowledgebase of Sales department rules and requirements.
  • Train new employees as necessary.
  • Make system wide price adjustments as necessary
  • Track open orders and back orders
  • Maintain and report on various performance metrics in support of the Sales and Services department
  • Prepare and distribute monthly reports to management team
  • Work with Sales Manager and Marketing team to prepare sales presentations by compiling data; developing presentation formats and materials.
  • Work with Sales Manager and Marketing team to prepare for trade shows and other company wide events

Secondary Responsibilities:

  • Answer incoming calls within a call center environment while utilizing multiple databases and resources when necessary.?
  • Process and file customer correspondence accurately.
  • Assist with administrative duties and special projects for multiple departments.
  • Support with other data entry and program management departments to resolve customer issues in a timely manner.
  • Other duties as assigned.

EDUCATION/EXPERIENCE:

  • A High school diploma is required.?
  • BS / BA degree preferred.
  • One to two years related experience and/or training; or equivalent combination of education and experience
  • Previous proven customer service experience required.

SPECIFIC KNOWLEDGE AND SKILLS:

  • Interest in the energy conservation industry and willingness to support EFI?s mission statement.
  • Excellent organizational and proven verbal and written communication skills.
  • Ability to prioritize and multitask, with a strong attention to detail is mandatory
  • Must be a self-starter with the ability to work independently
  • Proficiency in Microsoft Software, especially Word and Excel required
  • Ability and willingness to work cooperatively with others
  • High degree of discretion dealing with confidential information
  • Willingness to learn products, policies and procedures on an ongoing basis.?
  • Ability to be flexible to ongoing program and process changes.
  • A professional attitude and a desire to succeed.
  • Standard hours are Monday ? Friday 8am-5pm; must have some flexibility to complete tasks at various times to meet client deadlines
